You decide who gets in and what each group can read. Members ask in their own words, and every answer comes from a document you uploaded.

How it works

Three things to do, once

1
Northside Football Club
Parents
Reads its own documents
Coaches
Reads its own documents

Set up your groups

A group for each kind of member: parents and coaches, members and the committee, investors and founders. Each one is walled off from the others.

Who can read it
Reader groupParents

Give each group what it needs

The rules, the schedules, the templates, as the files you already have. Each is readable only by the group you give it to, and nothing is readable until you choose.

Hand out the number

People join with your code, or you approve each one. Then they ask in their own words, and there is nothing for them to install.

Letting people in

Three ways to let people in

Pick one when you set up and change it later. You can ask joining questions in the chat, and a newcomer’s answer can place them in the right group before you approve them.

1
Hi
Which group are you with? Halberd Hardware or Eastside Chess Club.

Open to anyone

Whoever messages the number sees your group in the list and taps it. Suits a shop, a club, anything already public.

2
RIVERSIDE24
You’re in Riverside Residents. Ask me anything.

Open with a code

You hand out a code and whoever has it gets answers straight away. Your group stays off the list, so nobody finds it by guessing.

3
COMMITTEE8
Thanks. The organiser will let you in shortly.

You approve each person

They need the code and then they wait for you. Slower, and the only one of the three that stops a forwarded code letting a stranger in.

Running it

For the person who runs it

What moves between groups is what you put there: a list you keep, an announcement to one group, an introduction you make yourself.

Groups inside one community

Parents and coaches, investors and founders, members and the committee. Each group has its own documents and cannot read another’s. What you put at the top reaches every group.

Announce to one group

Or to a group and everything inside it, and see who it reached.

Joining questions

Ask them in the chat when someone joins and read the answers before you let them in. An answer can place a newcomer in the right group.

A list you already have

Paste in the numbers you know, and those people are in without waiting for you.

Helpers, not just you

Add other administrators to share the approving and the replies.

A reason to stay

The rules, the schedules and the templates live here, kept current by you. That is why people stay on the number once they have found who they were looking for.

Capabilities

What it does, and what it refuses to do

Takes documents as they are

Send the PDF or the scan you already have. Nothing gets retyped into a knowledge base first.

Answers with the source

Every answer names the document it came from. When one of them is wrong, you know which file to fix.

One issue, however many reporters

Six people report the same broken gate. You get one issue, not six, and nobody is named to you unless they choose to be. Each gets a reference and hears when you close it.

WhatsApp only

There is no app and no portal. Your members are already in WhatsApp at the moment they think of the question.

Says so when it does not know

When your documents do not cover the question, it tells them that. There is nothing else for it to draw on.

STOP, and it stops

Anyone can reply STOP and it goes quiet, including about the things they reported themselves.

Private by default

What you share stays where you put it

Each group sees only what you give it, and members never see each other’s numbers. The database enforces that, not the AI.

Each group sees only what you give it
Members never see each other’s numbers
A private group is never named to a stranger
When you close an issue, nobody is quoted or named

For the technical: every query runs as the member who asked, under row-level security in Postgres. A query written as though no policy existed still returns nothing belonging to anybody else.

The number

One number, for everyone on it

Someone new sees the groups that chose to be listed and taps yours, or sends the code you gave them. If they belong to more than one group, it asks which before answering. Groups that stay private are never named to a stranger.

FAQ

Common questions

Only from documents you uploaded and said who could read. It has no general knowledge behind it and nothing of anyone else’s within reach. When your documents do not cover the question, it says so instead of guessing.

No. The database keeps them apart, so a question asked in your group only ever reaches what you put there. We did not achieve that by instructing the AI. An instruction can be argued with by anyone patient enough to try.

You do, at the moment you upload the document. You pick the reader group it belongs to, and that is the whole decision. There is no second setting elsewhere that quietly overrides it.

Yes. Make a group for each, say parents and coaches, or investors and founders, and give each its own documents. Neither can read the other’s. What passes between them is up to you: a list you keep, an announcement to one group, an introduction you make yourself.

Not yet. Today members ask and report, and you publish: documents, directories and announcements. If your community needs members to post their own profiles, jobs or offers for you to approve, tell us when you ask for a pilot.

Not through PineDesk yet. Communities that charge today collect the fee themselves and use approval, or a list of paid-up numbers, to let people in.

No. There is one number and everyone messages it. Someone new is shown the groups that chose to be listed, or asked for a code. If they belong to more than one group, it asks which one before answering. Groups that stay private are never named to a stranger, even to correct a near-miss spelling.

Whoever holds your code, unless you picked the tier where you approve people yourself. Their first message enrols them, and they can then read whatever you made readable to your default reader group. Put anything narrower in a narrower group. If a forwarded code worries you, approve people yourself.

You get one issue, however many people report it, and each of them gets a reference they can quote back. They all hear when you close it. What they wrote and who they are stays out of it: the closing message describes the problem and what was done about it.

They reply STOP. It goes quiet straight away, including about issues they reported themselves.

No. Your members save the number and message it like any other contact.

Getting started

What a pilot looks like

  1. You tell us how your community is shaped

Who belongs, the groups inside it, and the files each one needs, as they stand. Tidying them up is our job.

  2. We set up your groups and your access

Your groups, their documents, and how people get in: listed openly, reachable with a code, or approved by you one at a time. You can change it later.

  3. You hand out the number

We watch the first week with you and fix what it turns up.

Two at a time, a week apart

So each one gets the founder rather than a queue.
